Privacy policy
This explains what Graspmeet collects, why, who else sees it, and how to get rid of it. It is written to match what the software actually does.
It has not been reviewed by a legal professional, and the following details are still placeholders: company registration number, registered address, Information Officer’s name, Information Officer’s email. Do not rely on it as it stands.
Who is responsible
Graspmeet (Pty) Ltd is the responsible party for the personal information described here. You can reach us at privacy@graspmeet.com.
What we collect
- ·Your account. Name, email address, and a password held by our authentication provider — we never see or store the password itself. If you sign in with Google, we receive your email address and name from Google.
- ·The people you save. Whatever is on the card or you type in: name, role, company, email, phone, website, LinkedIn. Plus the notes you write about them, each with the date you wrote it.
- ·Photographs of business cards. Stored privately, tied to your account. Deleted when you discard the capture or delete the lead.
- ·Audio you record, and its transcript. Recording only ever starts when you start it.
- ·Drafts. The follow-ups written for you and anything you rewrite.
- ·Settings and preferences. How you like the app to behave.
What we do not collect
We do not research the people you meet, buy data about them, enrich their profiles from other sources, or look anything up that you did not give us. Everything we hold about a person came from you.
We do not read your inbox. Sending a follow-up uses send-only permission on your mailbox; we cannot see the mail you receive.
Where it goes
Most of it stays with us and our infrastructure providers. Three things leave, and only when you set them up:
- ·Follow-ups you send go through your own Gmail or Outlook account, because they come from your address.
- ·Leads you save are pushed to your CRM if you connect one. This is one-way: we write to it and never read from it.
- ·Meeting audio is sent to a speech-to-text provider to be transcribed, then the transcript comes back to us.
A business card is read on your phone and not sent anywhere to be interpreted. Follow-up drafting sends the details you saved and your notes to an AI provider to write the text.
Where it is stored
On servers operated by our hosting and database providers, which may be outside South Africa. Where personal information is transferred across a border, we rely on the provider being subject to laws or binding agreements that give protection substantially similar to POPIA, as section 72 requires.
How long we keep it
- ·Leads, notes and drafts: until you delete them, or close your account.
- ·Card photographs: until you discard the capture or delete the lead. Captures never turned into a lead are pruned automatically.
- ·Recordings: until you delete them. The retention setting in the app does not delete anything automatically yet — that is a promise the software does not currently keep, and we would rather say so than let you assume otherwise.
- ·Account records: until you close your account, then removed.
Your rights
You can see, correct, export or delete anything we hold about you. Most of it you can do yourself inside the app: edit or delete a lead, delete a note, delete a recording, export your leads as a spreadsheet. For anything else, email privacy@graspmeet.com.
Deleting a lead removes it here. It does not remove the copy already pushed to your CRM — we do not reach into your CRM to delete records, and you should remove it there too.
Other people’s information
Most of what you store here is about someone else. You are responsible for having a lawful basis to hold it and for recording conversations lawfully — in South Africa that generally means at least one party to the conversation consents, and being open about it is the better practice regardless.
Security
Traffic is encrypted in transit. Card images and recordings are in private storage reachable only through short-lived links tied to your account. Credentials for your connected mailbox and CRM are encrypted before they are stored. No system is perfect, and we will tell you and the Information Regulator if there is a breach affecting your information, as section 22 requires.
Changes
If this changes in a way that matters, we will say so in the app rather than quietly updating the date at the top.
